Overview
Under Asset Management in the CMDB sidebar (with a client selected) you track the commercial side of a client's IT: software Licenses, hardware Warranties, and vendor/service Contracts. Each has its own page, renewal/expiration tracking, and ties back to the config items it covers — so you see "what's expiring" before it bites you.
How To: Track a Software License
- With a client selected, open Licenses under Asset Management.
- Click New.
- Enter the product, vendor, license key/seat count, cost, and renewal date.
- Assign seats to config items or users so you can see utilization vs. owned seats.
- Save. The license shows on its assigned CIs, and the expiration feeds the dashboard's renewal warnings.
How To: Track a Warranty
- Open Warranties under Asset Management.
- Click New, or open a config item and add a warranty from its Related panel.
- Enter the provider, coverage type, start date, and expiration.
- Link it to the config item it covers.
- Save. The CI shows its warranty status, and approaching expirations are flagged on the dashboard and (if configured) emailed to your notification recipients.
How To: Track a Contract
- Open Contracts under Asset Management.
- Click New.
- Enter the counterparty/vendor, contract type, term dates, value, and renewal/notice details.
- Attach the document and link it to the relevant CIs or the client.
- Save. Renewal dates feed the same expiration tracking so nothing auto-renews or lapses unnoticed.
Renewal Awareness
The client dashboard surfaces upcoming license, warranty, and contract expirations. Configure notification recipients in settings to also receive emails ahead of expiry. Use Reports for a portfolio-wide expiration view across the client.
Troubleshooting
An expiring item didn't notify me. Confirm notification recipients are set and the item has a real expiration date. Items with no date can't be tracked for renewal.
A license shows over-allocated. You've assigned more seats than the license owns — reclaim seats from retired CIs/users or buy more.
