Overview
A company record is the foundation of everything in CRM. Every deal, contact, quote, and activity ties back to a company, so getting it set up correctly from the start saves time later.
Creating a Company
- Click Companies in the left navigation bar.
- Click New Company.
- Enter the company Name — this is the only required field.
- Fill in the remaining fields as you know them:
- Domain — used by email sync to automatically match incoming messages to this company.
- Phone and Website — basic contact details.
- Address — for proposals, quotes, and site visits.
- Employee Count and Annual Revenue — help with deal sizing and AI insights.
- Source — where the lead came from (referral, cold outreach, inbound, etc.).
- Click Save.
Required Fields
Only Name is required. Everything else is optional but recommended. The more information you add, the more useful the AI briefings and churn predictions become.
Company Status
The company's classification is the field the app labels Type — it is the Type column in the company list, the Type control in the create dialog, and the Type field on the company detail page. CRM stores it in a single column and imposes no fixed list of values: the options are the values already in use in your organization, each shown with the number of companies that hold it; a value the create dialog offers that nothing in your organization holds yet is listed without a count.
-
Client — a paying customer. This is the canonical value:
customerdenotes the same relationship, so the two are offered as one Client option and the filter reaches both. - Prospect — not yet a customer; actively being pursued. This is the value a new company starts with, so a company nobody has classified also reads as Prospect.
- Vendor — a supplier.
- Partner — referral or reseller.
The Type filter in the company list view lists the values in use in your organization with a company count beside each — a value offered for creating a company that nothing holds yet appears in the list without a count — so you can see how your book of business breaks down.
Company Types and Industry Tagging
Industry categorizes the company's business sector (Healthcare, Legal, Manufacturing, Finance, etc.). You set it on the company form, and the company list shows it for each account.
Tags are freeform labels you apply for your own filtering needs. You might tag companies as "MSP Prospect," "High Priority," or "Referral Partner." Tags are searchable and usable as audience filters in campaigns.
Other Useful Fields
- Owner — assign the account to a specific sales rep or account manager.
- Parent Company — if this company is a subsidiary, link it to its parent. This builds a hierarchy you can view and report on.
- Notes — internal notes visible only to your team.
- Custom Fields — your admin may have added custom fields specific to your MSP (e.g., contract tier, preferred contact method). Fill these in if present.
Frequently Asked Questions
What if the company already exists?
Use the search bar before creating a new record. If you suspect a duplicate exists, go to Deduplicate in the CRM navigation to find and merge duplicate company records.
Can I import companies in bulk instead of adding them one at a time?
Not from the CRM app — it serves no CSV import screen. Settings > Import / Export shows the import and export jobs the org has run and carries no upload, no column mapping and no run control. A bulk company import runs through the CRM API (POST /api/v1/crm/import/companies) or an integration that writes through it. See the Importing Contacts article for the same on contacts.
What is the domain field used for?
When email sync is active, CRM matches incoming and outgoing emails to companies based on the email domain. For example, if you enter acmecorp.com, any email from or to an @acmecorp.com address will appear on that company's timeline.
Can a contact belong to more than one company?
No. Each contact is linked to one company. If someone works across two organizations, create two contact records.
