Overview
Activities are how you record what has happened with a contact, company, or deal. Every call you make, meeting you attend, email you send, and task you complete can be logged as an activity, building a complete history of the relationship over time.
Activity Types
CRM supports the following activity types:
- Call — a phone or video call with the contact.
- Email — a manual email log (for emails not captured by email sync).
- Meeting — an in-person or virtual meeting.
- Task — a to-do item, whether completed or still pending.
- Note — a general observation or update worth recording.
Your admin may have added custom activity types specific to your team's workflow.
Logging an Activity
- Open the company, contact, or deal record you want to log against.
- Find the Activity section (usually on the timeline or in a dedicated tab).
- Click Log Activity.
- Select the Activity Type.
- Fill in:
- Subject — a short title for the activity (e.g., "Discovery call," "Followed up on proposal").
- Notes — what was discussed, what was decided, what needs to happen next.
- Duration — how long the call or meeting lasted (in minutes). Optional for tasks and notes.
- Occurred At — the date and time this happened. Defaults to now; change it if you are logging something from earlier.
- Click Save.
Logging a Task (Future Activity)
Tasks work the same way but are used for things that have not happened yet — a follow-up call to schedule, a proposal to send, or a renewal reminder.
When logging a task, fill in the Due At field with the date and time you need to complete it. Incomplete tasks appear in your activity list with a due date so nothing slips through.
Once the task is done, open it and mark it Completed.
Activity Timeline
Every company, contact, and deal has an Activity Timeline — a chronological feed of everything that has happened on that record. This includes:
- Manually logged calls, meetings, emails, and tasks.
- Emails pulled in by Microsoft 365 email sync (if connected).
- System events like deal stage changes and quote sends.
The timeline gives anyone on your team a fast way to catch up before a call or meeting.
Filtering and Viewing Activities
From the Activities list in the left nav, you can see all activities across every record. Filter by:
- Activity type
- Owner
- Date range
- Completion status
Use this view to review your own upcoming tasks or to audit activity levels across accounts.
Frequently Asked Questions
Do emails sent from my Microsoft 365 inbox appear here automatically?
Yes, if you have email sync connected. CRM pulls in new and changed messages every 15 minutes and matches them to contacts and companies by email address. They show up on the relevant timelines automatically. See Email Sync for setup steps.
Can I log an activity on a deal and have it show up on the contact timeline too?
Yes. Activities are linked by company, contact, and deal simultaneously. If you log a call on a deal, it appears on the deal timeline, the linked contact's timeline, and the company timeline.
Is there a way to set a reminder for a task?
CRM does not currently send push reminders for tasks, but overdue tasks appear flagged in your activity list. A workflow rule cannot be set up to email you when a task is due — CRM dispatches no task-due trigger, so a rule saved against one never runs.
Can I edit an activity after saving it?
Yes. Open the activity from the timeline and click Edit. Change any field and save.
