Sending a document for signature in eSign involves creating an envelope, uploading documents, placing signature fields, adding signers, and clicking Send. This article walks through each step.
Who This Is For
Staff who are initiating a signature request — whether for a client contract, internal agreement, or any document that requires a formal signature.
Step 1: Create an Envelope
- Open eSign and go to Envelopes > New.
- Set the title (for example, "Service Agreement — Acme Corp").
- Optionally set an expiry date. After this date, the envelope expires and outstanding signer links stop working.
- Click Save. The envelope is now in Draft status.
Step 2: Upload Documents
- On the envelope, add one or more documents. Upload a PDF or compatible file for each.
- Each document is assigned an ID within the envelope.
Step 3: Place Signature Fields
- For each document, open the field placement view.
- Add fields by type — Signature, Initials, Text, Date, or Checkbox — and position each field on the correct page at the correct location.
- Assign each field to a specific signer (required when you have multiple signers).
- Mark fields as required or optional as appropriate.
- Save the field layout.
Step 4: Add Signers
- On the envelope, add each signer with their name, email, and optionally a role (for example, Client, Witness, Authorized Representative).
- If signers should sign in a specific order, set an order number for each. The first signer must complete before the next one is notified.
- If all signers can sign at the same time, leave the order unset (parallel flow).
Step 5: Send
- Review the envelope — confirm the documents, fields, and signer list are correct.
- Click Send. The envelope moves from Draft to Sent.
- eSign generates a unique signing link for each signer. The calling product (or eSign's own notification system) delivers the links via email.
Frequently Asked Questions
Can I edit the envelope after sending? No. Once sent, the envelope is locked. To make changes, void the envelope and create a new one.
What if I need multiple rounds of signing (send to signer A, then B)? Set signer order numbers. Signer A goes first; when they complete, signer B is automatically notified to sign next.
Can I attach more than one document to an envelope? Yes. Add as many documents as needed. Each document gets its own field placements.
