After sending an envelope, you can check where it stands at any time — who has signed, who is still outstanding, and whether the envelope has completed, expired, or been declined.
Who This Is For
Anyone who has sent an envelope and needs to follow up, send a reminder, or take action on a stalled signing request.
Envelope Statuses
An envelope moves through the following states:
| Status | Meaning |
|---|---|
| Draft | Created but not yet sent. |
| Sent | Sent to signers. At least one signer has not completed yet. |
| Partial | One or more signers have signed, but at least one has not. |
| Completed | All signers have signed. The final PDF can now be generated. |
| Declined | A signer declined to sign. The process is stopped. |
| Voided | The sender voided the envelope. All outstanding links are invalid. |
| Expired | The expiry date passed before all signers completed. |
Checking Who Has Signed
- Open the envelope.
- Go to the Signers tab.
- Each signer shows their current status: Pending, Viewed, Signed, or Declined.
Use this to see at a glance who still needs to act and who is done.
Sending a Reminder
- On the envelope, click Remind.
- eSign publishes a reminder event. The calling product (or email system) delivers the reminder email to the outstanding signer(s).
Reminders do not extend the expiry date. If the envelope is close to expiring, note that when you follow up.
Voiding an Envelope
- On the envelope, click Void.
- Enter a reason for voiding (required).
- Confirm. The envelope status becomes Voided.
Once voided, all outstanding signer links stop working immediately. The audit trail records the void with your reason. You cannot un-void an envelope — create a new one if the document still needs to be signed.
Generating the Final PDF
When an envelope reaches Completed status:
- Open the envelope.
- Click PDF (or Generate PDF).
- eSign flattens the signed document — field values are written permanently into the PDF.
- Download or save the PDF.
The PDF is not generated automatically. You trigger it explicitly after the envelope is completed.
Frequently Asked Questions
Can I resend a voided envelope? No. You create a new envelope. The audit trail on the voided one remains and records both the original flow and the void.
What happens when an envelope expires? The status becomes Expired and all outstanding signer links stop working. The envelope is not automatically voided — it remains visible with an Expired status. If you still need signatures, create a new envelope.
Reminders aren't being sent to the signer — what should I check? eSign publishes a reminder event but does not send email directly. The calling product (Legal, CRM, etc.) is responsible for email delivery. Check the calling product's email configuration.
