Overview
Asset tracking in PSA lets you maintain a record of the hardware devices your MSP manages for each client. Each asset stores the device's identity, ownership, warranty status, network details, and full history of tickets and changes. Assets also link to inventory serial numbers for end-to-end device lifecycle tracking.
Adding an Asset
- Go to Assets in the main navigation.
- Click New Asset.
- Enter the name (for example, "Reception Workstation" or "Core Switch – Floor 2").
- Fill in the identifying details:
- Asset tag — your internal label (for example, ASSET-0042).
- Serial number — the manufacturer's serial.
- Asset type and category (workstation, server, network, printer, etc.).
- Manufacturer and model.
- Assign the asset to a company and optionally a contact (the person who uses or is responsible for it).
- Set a location (office name, floor, room).
- Fill in purchase and warranty information:
- Purchase date and purchase cost.
- Warranty expiry date (PSA will surface assets with approaching or expired warranties).
- Fill in network details if applicable: IP address, MAC address.
- Enter OS name and OS version for computers.
- Add tags or custom fields for anything not covered by the standard fields.
- Click Save.
Linking Assets to Clients
An asset is linked to a client via the company field. Every asset belongs to exactly one company. You can reassign an asset to a different company by editing the asset record — the full history travels with it.
If the asset also has a serial number in the inventory module, link them so stock and service history stay connected.
Asset History
Every ticket that references an asset is recorded in the asset's history. To view the history:
- Open the asset.
- Click the History or Activity tab.
You can see which tickets were opened for this device, when it was serviced, and any notes added over time.
Serial Numbers
If the asset corresponds to a serialized item in your inventory, you can link the serial number record to the asset. This connects the sale/deployment event in inventory with the ongoing service record in assets.
Printing Asset Labels
Asset labels with QR codes let field techs quickly pull up a device's record by scanning:
- Open the asset.
- Click Print Label.
- Choose the label template (configured under Settings > Label Templates).
- Select the printer (requires a PrintNode connection).
- Click Print.
Scanning the QR code on the printed label opens the asset record directly.
Frequently Asked Questions
Does PSA sync assets from the RMM?
RMM alerts create tickets linked to assets by asset ID. The RMM and PSA share device identity through this link, but full bidirectional sync of all device attributes depends on your integration configuration.
Can one asset be assigned to two clients?
No. Each asset has a single company. If a device moves to a different client, update the company field — the history remains intact.
How do I track warranty expirations across all clients?
Use the Assets list view and filter or sort by Warranty Expiry. You can also export the list to CSV for review.
What happens to asset records when a client is deactivated?
Asset records are retained. The company status change does not delete assets, so your history is preserved.
