Welcome to the platform. This guide walks a brand-new MSP through the onboarding wizard — the guided setup that gets your organization from a fresh account to running your business on the platform. It is the first thing you should do after signing in.
Who This Is For
The MSP Owner (or whoever set up the account) running first-time setup. Most steps can be revisited later from the relevant product or Settings, so you do not have to finish everything in one sitting.
Starting the Wizard
After you sign in for the first time at app.theonestack.com, you are taken to the onboarding wizard at /onboarding. You can return to it any time by going to /onboarding. The wizard tracks your progress, so you can leave and come back.
The Onboarding Steps
The wizard guides you through these steps in order:
- Welcome — a short intro and a few questions about your MSP (team size — Solo, 2–5, 6–15, 16–50 techs — and the kind of MSP you run: Break-fix, Managed Services, Security-focused, or Full-stack). Your answers tailor the recommended products and defaults.
- Company Profile — your company legal name, primary contact name, contact email, mobile phone number, and country. This information is used across the platform (on invoices, in your client portal, and for notifications).
-
Choose Products — pick the products to activate (PSA, RMM, CRM, Projects, and more). You can start trials here. Products you skip can be added later from
/billing/plansor Discover. - Invite Team — add your technicians and staff by email (enter them individually or paste a list). They receive invites to join your organization. Roles can be refined later in Settings > Users.
- Connect Accounts — connect external tools (Microsoft 365 / Google for SSO and data, your RMM, accounting, etc.). You can connect a tool now or do it later in each product's integrations.
- Import Your Data — bring your data with you (clients, contacts, assets) from your previous tools. This can also be done later through the migration tools.
- PSA Setup — configure your service desk basics: business hours, SLA priority response times, dispatcher, and email piping (so client emails become tickets).
- Endpoints — get your first devices protected: generate an enrollment token and set a default protection/patch policy.
- Make It Yours — branding, including Custom Domain and Sending Domains (so transactional and marketing email come from your domain).
- First Client — add your first client company so you have something real to work with.
- Train THEO — give THEO (your AI assistant) context about how your MSP operates.
- SMS Notifications — opt in and configure SMS for alerts.
- Ready! — you are set up and ready to run your business on the platform.
What You Can Skip and Revisit
You do not need to complete every step at once. Anything skipped is available later:
- Products →
/billing/plansor Discover - Team → Settings > Users
- Integrations → each product's integrations page (or Bridge)
- Custom and sending domains → Settings / the relevant product settings
- Billing and payment →
/billing(see Account and Billing Setup)
Recommended First-Day Order
If you want a focused path, do these first:
- Company Profile (so invoices and the portal are correct).
- Add a payment method at
/billing/paymentso trials convert smoothly (see Account and Billing Setup). - Choose Products and start the trials you want.
- Invite your team.
- Add your first client and connect your sending domain so client communication works.
Troubleshooting
"I closed the wizard — how do I get back?" Go to /onboarding. Your progress is saved.
"A teammate didn't get their invite." Resend it from Settings > Users. Check their spam folder and confirm the email address.
"I can't change billing in the wizard." Billing actions require the Owner or Finance role. If you are not the Owner, ask them to complete billing steps.
