This guide gets your MSP's account billing set up correctly: adding a payment method, choosing products, understanding trials, and confirming who can manage money. It complements the New MSP Onboarding wizard.
Who This Is For
The MSP Owner sets up billing. The Finance role can view billing and most billing pages but cannot change payment methods. Admins can activate products but cannot see cost or manage payment.
Step 1: Add a Payment Method
Do this early so trials convert without interruption.
- Go to /billing/payment (or Manage payment methods on the
/billingoverview). - Click Add payment method and enter a card or bank account (ACH).
- Set it as default.
You need at least one valid method on file to keep subscriptions active. Only the Owner can add or remove methods. See Managing Payment Methods.
Step 2: Choose Your Products
- Go to /billing/plans (or Discover / Products).
- Activate the products you want, or start trials.
- The product appears in the sidebar and the My Apps launcher within a few seconds.
Most products offer a 14-day free trial, fully functional with no charge. A countdown lives on /billing/trial. Convert before expiry from /billing/trial to keep a product. See Plans, Trials, and Subscriptions.
Step 3: Confirm Roles for Money Management
In Settings > Users, make sure the right people have the right platform role:
- Owner — full billing control, including payment methods.
- Finance — view billing, invoices, usage, credits; cannot change payment methods.
- Admin — can activate products but does not see cost.
- Member / Viewer — no billing access.
Grant a teammate the Finance role if they handle invoices but should not change payment details.
Step 4: Know Where Things Live
| Task | Where |
|---|---|
| See current plan, estimate, next invoice | /billing |
| View and download invoices | /billing/invoices |
| Track metered usage and forecast | /billing/usage |
| Manage payment methods | /billing/payment |
| See account credits | /billing/credits |
| Review your service agreement | /billing/contract |
| Submit a tax exemption | /billing/tax-exemption |
| Set spend alerts | /billing/alerts |
Step 5 (If Applicable): Tax Exemption
If your MSP is sales-tax exempt, submit your certificate at /billing/tax-exemption. Tax is suppressed once the certificate is active, and renewals are handled automatically before expiry. See Tax Exemption.
Important: Two Different "Billings"
- /billing is how the platform bills your MSP — your subscriptions and usage.
- Billing your own clients is done in PSA and synced to your own QuickBooks Online via Bridge. See Connecting QuickBooks Online.
Do not confuse the two — they are separate systems with separate money flows.
Troubleshooting
"My trial is about to expire and I haven't decided." Convert at /billing/trial to keep it; if it expires it deactivates but your data is retained for a grace period.
"A payment failed and a product was suspended." Update the card on /billing/payment; the next automatic retry cures the open invoice. See dunning timing in Viewing and Paying Invoices.
