The platform collects your MSP's invoices automatically against a payment method on file. This article covers adding, changing, and removing a payment method, and who is allowed to do it.
Who This Is For
Only the MSP Owner can add, change, or remove a payment method. Finance users can view the method on file but cannot change it.
Adding or Changing a Payment Method
- Go to /billing/payment (or click Manage payment methods on the
/billingoverview). - Click Add payment method.
- Enter a card or a bank account (ACH) and follow the prompts. The card form is handled by the payment provider — the platform never stores raw card numbers.
- To make a method the default for future charges, choose Set as default.
You must keep at least one valid payment method on file to maintain active subscriptions.
Removing a Payment Method
- Go to /billing/payment.
- Click the ... menu next to the method and choose Remove.
You cannot remove the only method on file while you have active subscriptions — add a replacement first.
Why Keep It Current
If the payment method on file expires or is declined, the invoice goes past due and the dunning sequence begins (retries plus notices on days 1, 3, 7, and 14; suspension at day 14; cancellation at day 30). Updating the card or bank account before the next retry cures the past-due invoice automatically.
The Provider Billing Portal
For receipts, full payment history, and downloadable invoice PDFs, click Manage billing on the /billing overview. This opens the payment provider's billing portal, where every historical invoice PDF is always available.
Troubleshooting
"I'm an Admin and the Remove button is missing." Only Owners can change payment methods. Ask your Owner.
"My card was declined but it's valid." Confirm the billing ZIP/postal code matches the card, that the card allows recurring charges, and that it is not expired. After fixing, the next automatic retry collects the open invoice — you do not need to pay manually.
