Commerce is the platform's billing engine. It is what The One Stack uses to bill your MSP for the products you subscribe to, and what powers the Billing area you see in the Hub. Everything about money between you (the MSP) and the platform lives here: your plan, your invoices, your usage, your payment method, your account credits, your service agreement, and your tax status.
This article is for MSP Owners and Finance users — the people who manage what the MSP pays the platform. It is not about billing your own clients (that is handled in PSA → QuickBooks; see the Bridge guide on connecting QuickBooks Online).
Where Billing Lives

Who Can See Billing
Only users with the Owner or Finance platform role can open billing pages. Admins, Members, and Viewers cannot. If you are an Admin and need access, ask your Owner to grant you the Finance role in Settings > Users.
Within billing, some actions are Owner-only — notably adding or removing payment methods. Finance users can view payment methods but not change them.
Key Concepts
-
Plan — the set of products your MSP subscribes to and the tier of each (for example, PSA Pro). Managed on
/billing/plans. - Subscription — one product's recurring fee. Each active product is its own subscription with its own status (Active, Trialing, Past Due, Canceled).
- Invoice — a bill issued for a billing period. Has a status, line items, taxes, and a downloadable PDF.
- Usage — metered consumption above your plan's included units (for example, voice minutes or AI tokens) that is billed in addition to the fixed subscription fees.
- Credit — a balance applied against future invoices, from a referral, promotion, or refund.
-
Service agreement — the terms your MSP is billed under, shown on
/billing/contract. Most MSPs are on the standard published catalog; some have a custom negotiated agreement. - Tax exemption — a certificate that suppresses sales tax on your invoices when your MSP qualifies (for example, a 501(c)(3)).
How a Charge Is Built
The amount on an invoice is:
subtotal (fixed subscriptions + metered usage)
− credits applied
− discounts
+ tax (where applicable)
= invoice total
The estimate shown on the overview is calculated mid-period from current usage, so it can differ from the final invoice if usage changes before the period closes.
Frequently Asked Questions
Is this how I bill my own clients? No. The Billing area is how the platform bills your MSP. To bill your clients, you create invoices in PSA and sync them to your own QuickBooks Online — see "Connecting QuickBooks Online" in the Bridge guides.
Why doesn't my estimate match my last invoice? The estimate is a mid-period projection based on usage so far. Usage-based products change throughout the month, so the final invoice can be higher or lower.
Who do I contact about a billing dispute?
Open a support request from the Help menu (THEO support), or contact your account manager. Disputes about specific invoices should reference the invoice number from /billing/invoices.
