Overview
Tasks are the individual units of work inside a project. Each task can have an assignee, due date, priority, description, subtasks, dependencies, custom field values, and an activity log. Subtasks let you break a larger task into smaller steps without creating separate top-level tasks. This article covers creating tasks and subtasks, assigning them to team members, and setting due dates.
Add a Task
- Open a project.
- In the list, board, or timeline view, click Add Task.
- Enter a title.
- Set a due date and priority.
- Pick an assignee from the project members list. The assignee receives a notification.
- Add a description for context.
- Click Save.
Add a Subtask
- Open an existing task.
- Scroll to the Subtasks section and click Add Subtask.
- Give the subtask a title, due date, and assignee.
- Click Save.
Subtasks appear nested under the parent task in list view. They are independently assignable and completable. The parent task's progress indicator reflects the ratio of completed subtasks.
Assign to a Team Member
Assignees must be project members. To add someone to the project first, go to project Settings > Members and add them. Then return to the task and pick them from the assignee dropdown.
A task can have one assignee. If multiple people need to be notified, use the Watchers field — watchers receive activity notifications but are not responsible for completion.
Set Due Dates
- Task due date — when the task should be completed.
- Start date — optional; required if you want the task to appear correctly on the Gantt chart.
Tasks without a due date still appear in list and board views but are excluded from the Gantt.
Add Task Dependencies
- Open a task.
- Click Dependencies.
- Choose the dependency type: Finish-to-Start, Start-to-Start, Start-to-Finish, or Finish-to-Finish.
- Search for and select the dependent task.
- Click Save.
Dependencies are used by the Gantt view to draw the critical path. See Gantt View for details.
Bulk Update Tasks
To update multiple tasks at once:
- In list view, check the boxes next to the tasks you want to update.
- Click Bulk Update in the toolbar.
- Choose fields to update — status, assignee, due date, priority.
- Confirm.
Custom Fields on Tasks
If your project or workspace has custom fields defined, they appear in the task detail panel. Fill them in like any other field. Custom fields can be text, number, date, dropdown, or checkbox type.
Frequently Asked Questions
Can I move a task to a different project?
Yes. Open the task, click the Move option, and select the destination project.
Can I duplicate a task?
Yes. Use the Duplicate option from the task menu. The copy keeps all fields except time entries and comments.
What is the activity log?
Every change to a task — status updates, reassignments, comments, due date changes — is recorded in the task's activity log. Open a task and click Activity to review the history.
