Overview
Project templates let you save a project structure — tasks, milestones, default member roles, and custom fields — and reuse it every time you start a similar engagement. Templates save setup time on recurring project types like onboardings, migrations, or compliance audits. You can build your own templates or install community templates from the Marketplace.
Create a Template
- Go to Projects > Templates.
- Click New Template.
- Name the template and choose an engine (MSP, Construction, Agency, etc.).
- Add tasks, subtasks, milestones, and default member roles. Due dates on template items use relative offsets (e.g., "7 days after project start") rather than fixed calendar dates.
- Add any custom field definitions the template should include.
- Click Save.
Apply a Template to a New Project
- Click New Project.
- Choose Start from Template.
- Browse your saved templates or search the Marketplace.
- Select a template and click Use Template.
- Enter the project name, client, start date, and other required fields.
- Click Create.
All tasks, milestones, and default roles from the template are copied into the new project. Relative due dates are calculated from the project start date you entered.
Common MSP Project Types
MSP teams typically create templates for:
- Client Onboarding — tasks for account setup, documentation, access provisioning, and first check-in call.
- Network Migration — discovery, planning, cutover tasks, and a post-migration review milestone.
- Security Audit / Assessment — pre-audit questionnaire, on-site tasks, report milestone, remediation tracking.
- Hardware Refresh — procurement, deployment, asset tagging, and decommission tasks.
- Microsoft 365 Deployment — licensing, tenant setup, user migration, and training tasks.
Marketplace Templates
The Marketplace lets you install templates published by other teams or share yours.
- Browse templates under Projects > Templates > Marketplace.
- Click Install on any template to add it to your library.
- To share a template you built, open it and click Publish to Marketplace. Published templates go through an approval step before becoming publicly visible.
- You can Fork a Marketplace template to make your own customized copy.
Update an Existing Template
Changes to a template do not affect projects already created from it. Only new projects created after the update will use the revised template.
- Go to Projects > Templates.
- Open the template you want to edit.
- Make your changes and click Save.
Frequently Asked Questions
Can I create a template from an existing project?
The recommended approach is to build templates directly in the Templates section. You can use an existing project as a reference while building, but there is no single-click "convert project to template" action.
Do templates carry over time entries or comments?
No. Templates copy structure only — tasks, subtasks, milestones, roles, and custom field definitions. Time entries and comments are not included.
Can I use Marketplace templates on any plan?
Yes. Browsing and installing Marketplace templates is available on all plans. Publishing requires Professional or Enterprise.
