Overview
A project is the top-level container for all work, tasks, milestones, and time related to a single engagement. You can create a project from scratch, from a saved template, or from a proposal. This article covers creating a project manually and filling in the key details.
Create a New Project
- Go to Projects in the main navigation.
- Click New Project.
- Enter a project name.
- Select the client this project belongs to. The client list is pulled from PSA; if no PSA is connected, type the name manually.
- Choose an engine (MSP, Construction, Agency, Software, etc.). This sets the terminology and workflow stages for this project.
- Optionally, choose Start from Template to pre-populate tasks, milestones, and roles. (See Project Templates.)
- Set a start date and end date.
- Enter a budget if you want budget-vs-actual tracking.
- Click Create.
Fill In Project Details
After creation, the project detail page lets you add more context:
- Description — summarize scope or objectives.
- Health score — automatically calculated from task completion, overdue items, and budget. No manual entry needed.
- Members — add team members and set their role: Admin, Manager, or Member. Admins can change project settings; Members can view and work tasks.
- Custom fields — any workspace-level or project-level custom fields appear here and on tasks.
Link to a Client and PSA Contract
- Open the project.
- In the right-side panel, find PSA Contract and click Link Contract.
- Search for the agreement by company or contract name.
- Click Save.
Linking a contract means billable time entries from this project will be associated with that agreement in PSA.
You can also link individual tasks to PSA tickets: open a task, click Link Ticket, and search by ticket number or title.
Duplicate a Project
If you are starting a similar project, open an existing project and use the Duplicate option from the project menu. Duplication copies tasks, milestones, and member roles — not time entries or comments.
Archive a Project
When a project is complete, use Archive from the project menu. Archived projects are hidden from the active list but remain searchable and reportable.
Frequently Asked Questions
Can I create a project from a PSA ticket?
Yes. In PSA, tickets can trigger project creation via the integration. You can also use the API endpoint POST /api/v1/projects/create-from-proposal for proposal-driven creation.
What happens if I don't set a budget?
Budget-vs-actual tracking is disabled for that project. Time entries and expenses are still recorded; they just won't show a variance.
Can I change the engine after creating a project?
Engine is set at creation and stays with that project. New projects can use any engine available on your plan.
