Bridge connects your MSP's own QuickBooks Online (QBO) account so the invoices you raise to your clients in PSA flow into QBO, and the payments and customers in QBO flow back. Each MSP connects its own QBO company — there is no shared books. This article covers connecting, what syncs, manual syncs, company matching, and disconnecting.
Finance → Payment Sync (/psa/admin/integrations). Connect QuickBooks Online (or Xero) and run invoice/payment sync here. These connections are owned by Bridge. You can also reach this page from Settings → Integrations & Migration → Integrations (same URL). Note: Finance → Billing Integration (/psa/finance/billing/settings) holds PSA's own billing settings. It does not set up the QuickBooks sync, so don't label it "QuickBooks."
Who This Is For
MSP staff who manage finance integrations — typically Owner, Admin, or a finance-role user. This is about billing your clients through your QBO, which is separate from how the platform bills your MSP (that is in /billing; see the Commerce guides).
Connecting QuickBooks
- Go to Finance → Payment Sync (
/bridge/integrations/qbo). - Click Connect QBO.
- You are redirected to Intuit to authorize. Sign in to QuickBooks and approve access for your company.
- Intuit returns you to the QuickBooks Online page in Bridge. On success you see "QuickBooks connected."
You never paste credentials or tokens. The connection uses OAuth against the platform's QuickBooks app; the authorization is bound to your organization server-side. If authorization fails, the page shows the reason (for example, "access denied").
Once connected, the Connection panel shows the QuickBooks company name, the Realm ID, and the Last sync time.
What Syncs
| Mapping | Direction |
|---|---|
| PSA Invoice → QBO Invoice | Outbound |
| QBO Payment → PSA Payment | Inbound |
| PSA Company ⇆ QBO Customer | Bidirectional |
| QBO Product / Service → PSA Item | Inbound |
Outbound invoice push runs the same find-or-create-customer then create-invoice path that the PSA invoice-finalize trigger uses, so an invoice finalized in PSA can flow to QBO automatically once the connection and matching are in place.
Company Matching
Before invoices sync cleanly, your PSA companies must be matched to QBO customers so charges land on the right account.
- From the QuickBooks page, open Company Matching (or go to
/bridge/company-matching). - Review the auto-matches Bridge proposes.
- Confirm correct suggestions and resolve any unmatched companies by linking them to the right QBO customer (or letting Bridge create one).
Manual Sync
The QuickBooks page has a Manual Sync section with buttons for Invoices, Payments, and Customers:
- Sync Payments / Customers Now runs a one-time inbound pull from QBO.
- Sync Invoices Now is an outbound push. Invoices are selected from the Invoices list and pushed with Push to QBO — a bare "Sync Invoices Now" with nothing selected reports that nothing is queued. Pick the invoices to push from the invoice list, then push.
You must connect QBO before any manual sync is available.
Sync Settings
Open Manage sync settings (/bridge/sync-settings/<connection>) to enable or disable sync per entity, choose direction, and set frequency. This controls what syncs automatically going forward.
Disconnecting
- On the QuickBooks page, click Disconnect.
- Confirm "Yes, disconnect."
Disconnecting stops all syncing and removes the connection. Records already synced remain in both systems; only the live link is removed.
Troubleshooting
"Authorization failed." The page shows the Intuit reason. Common causes: you cancelled the Intuit consent screen, or you authorized the wrong QuickBooks company. Click Connect QBO again and approve the correct company.
"Invoices aren't pushing." Confirm the connection is connected, that the PSA company is matched to a QBO customer in Company Matching, and that you are selecting invoices and using Push to QBO (the bare manual button needs a selection). Failed sync jobs, duplicate customers, and companies that never matched surface on this connection — fix the exact records from its Sync Logs, Company Matching and Error Recovery views.
"Duplicate customers appeared in QBO." Use Company Matching to link the PSA company to the correct existing QBO customer instead of creating a new one, then re-run the sync.
