Overview
The Hub provides a GDPR data export tool that lets you request a complete copy of your organization's data. This is available to Owners from Settings → Data & Privacy. This article covers how to request an export, what data is included, and how long the download is available.
Requesting a Data Export
- Go to Settings → Data (
/settings/data). - Click Request data export (or Request erasure if you need deletion instead of download).
- Confirm the request.
The Hub queues the export. You will receive an email notification when it is ready to download.
What Data Is Included
A data export covers all data held for your organization in the Hub, including:
- Organization record — org name, slug, settings, billing address, and configuration.
- User records — display names, email addresses, roles, and profile settings for all members of your organization.
- Membership records — role assignments and product access grants.
- Billing records — invoices, usage snapshots, and subscription history.
- Audit log entries — all events within the 90-day retention window.
- Client records — managed client details and product assignments.
- Invite history — sent and accepted invites.
- Custom fields, tags, and notes — any metadata your team added to records.
- API key metadata — key names and creation dates (not the key values themselves, which are never stored in recoverable form).
The export does not include product-specific data (for example, PSA tickets, RMM device data, or Voice call recordings). Product data exports must be requested from each product separately.
Download Window
Once the export is ready, the download link is available in Settings → Data and in the notification email. Download your export promptly — the file is available for a limited window. After the window closes, you will need to submit a new request.
GDPR Erasure Requests
If you need data deleted rather than exported, click Request erasure on the same page. Erasure requests are reviewed by The One Stack platform team before processing. You will receive a confirmation email when the request has been reviewed and completed.
Frequently Asked Questions
How long does the export take to generate?
Most exports are ready within a few minutes. Very large organizations with extensive audit history may take longer. You will receive an email as soon as it is ready.
Who can request a data export?
Only Owners can submit data export and erasure requests.
Can I export data for a single user only?
The current export tool covers the full organization. For a single-user data request (for example, in response to a GDPR subject access request), contact The One Stack support with the specific user's details.
Does an erasure request delete everything immediately?
Erasure requests are reviewed before processing, as some data (for example, billing records) may need to be retained for legal or regulatory reasons. The platform team will confirm what can be deleted and when.
Is the export file encrypted?
The download link is served over HTTPS. The export file itself is a standard format (JSON or CSV). Store the downloaded file securely — it contains personal data.
