Overview
Owners and Admins manage the full lifecycle of team members from Settings → Users. This covers viewing users, deactivating and reactivating accounts, and permanently removing someone from your organization.
Viewing All Users
Go to Settings → Users (/settings/users). The page lists every person in your organization with their:
- Display name and email
- Platform role (Owner, Admin, Finance, Member, Viewer, or a custom role)
- Status (Active, Invited, Deactivated)
- Last login date
- Products they have access to
Use the search bar to find a user by name or email. Filter the list by status or role using the dropdowns at the top.
Click any user's name to open their full detail page.
Deactivating a User
Deactivating a user immediately ends all of their active sessions and prevents them from signing in. Use this when someone leaves the organization or when you need to lock out an account temporarily.
- Open the user's detail page from Settings → Users.
- Click Suspend (for temporary lock-out) or scroll to the danger section and click Deactivate.
- Confirm the action.
- Suspend blocks sign-in and revokes active sessions but keeps the account intact. Use it for temporary situations.
- Deactivate (soft delete) marks the account as deactivated. The user's history and data are preserved, but they cannot sign in.
The user's status changes immediately in the user list.
Reactivating a User
To restore access for a suspended or deactivated user:
- Open the user's detail page from Settings → Users (you can filter by Deactivated status to find them quickly).
- Click Reactivate.
- Confirm the action.
The account returns to Active status and the user can sign in again. Their roles and product access are restored to what they had before deactivation.
Removing a User from the Organization
"Remove" in the Hub is a soft delete — the account record is preserved for audit purposes, but the user loses all access to your organization.
- Open the user's detail page.
- Scroll to the bottom and click Delete user (or Remove from org).
- Confirm the removal.
Removing a user immediately revokes their sessions and removes their organization membership. If the same person needs to be added back later, you will need to send them a new invite.
You cannot remove the last Owner of an organization. Promote another user to Owner first.
Frequently Asked Questions
What is the difference between Suspend and Deactivate?
Both block sign-in and revoke sessions. Suspend is intended as a temporary hold — it is easy to reverse. Deactivate signals the account is no longer in active use but still preserves the user record for audit log purposes.
If I deactivate a user, do they lose their assigned roles?
Their roles are preserved on the account record. When you reactivate them, all roles and product access return as they were.
Can I see who deactivated a user?
Yes. Every deactivation, suspension, and reactivation is recorded in the audit log at Settings → Audit Log.
A user was auto-deactivated. Why?
If People Sync is enabled and the user was deactivated in your external HR system, the Hub automatically deactivates them on the next sync. Check Settings → People Sync for sync history.
Can a Member manage other users?
No. User management (invite, edit, deactivate, remove) requires Owner or Admin role.
